With a global footprint of 400\+ clinicians serving millions of patients, our Clinical Operations team is the engine of the service. A growing share of that delivery now runs through external partners, and this role owns those relationships end to end. You will be the bridge between our internal operations and our outsourced clinical workforce providers (currently Health Finder Pro, GPDQ, and Your World, with more to come). These partners handle more than half our order volume, so keeping them accountable, compliant, and cost\-effective is critical. You will hold providers to their SLAs, manage spend and invoicing, and lead a small team of Operations Coordinators to keep delivery running smoothly. This is a role for someone who can balance genuine partnership with firm accountability, and who is as comfortable in a performance review with a vendor as they are reconciling an invoice or building a capacity plan. **What You'll Do** * Own Performance Reporting: Maintain weekly performance reporting across all providers, run the scorecard reviews, and lead structured, accountability\-focused conversations when standards slip. * Lead \& Manage: Take direct management responsibility for a team of up to 3 Operations Coordinators, supporting their day\-to\-day delivery and development. * Plan Capacity: Use our Clinical Operations Capacity Model to make sure the right cover is in place at the right hours, adjusting shift requests against real\-time and forecasted demand. * Onboard Clinicians: Manage the end\-to\-end onboarding of new BPO clinicians, and lead offboarding conversations professionally and sensitively when needed. * Protect Compliance: Audit certifications, training, and licences across all provider pools, working with our Training and Governance teams to keep clinical standards high. * Control Spend: Own the invoicing process across providers, reconciling billed hours against actual output through Sage and Yooz, and partnering with Finance to resolve discrepancies fast. **What You'll Bring To HeliosX** * 3\+ years in vendor management, BPO operations, or a similar operational partnership role. * Proven people management experience, ideally leading small teams. * A strong track record of holding external partners accountable to SLAs and KPIs, with the confidence to push back constructively when standards are not met. * Experience managing end\-to\-end invoicing and reconciling billed activity against output (Sage, Yooz, or equivalent). * Strong data skills: comfortable using Google Sheets or BI tools to track performance, spot trends, and turn numbers into clear reporting. * Experience managing capacity against forecasted and real\-time demand to consistently meet SLAs. **Nice To Have** * Experience in digital health, health tech, or a regulated clinical environment. * Familiarity with Metabase or other SQL\-based BI tools. * Working knowledge of Zendesk, Slack, and Hubstaff. **Life at HeliosX** At HeliosX, we want to improve healthcare for everyone, and to do this we need a team of brilliant people who share that ambition.
